Which QuickBooks Desktop password is blocking you
QuickBooks Desktop stores more than one kind of password, and the reset path depends on which one you lost. The sign-in screen tells you a lot. If QuickBooks asks for a username, you are dealing with a user password. If it only asks for a password, or the username is Admin, you are dealing with the admin password.
The External Accountant is a special user account the company file admin creates for the outside accountant. It has its own password and is reset by the admin like any other user account.

What is and is not possible
Company file passwords are stored inside the company file, and no one, including Intuit support or your accountant, can look up and read your current password to you. Intuit's service can help you set a new one after you prove you own or are authorized to manage the file. That is a reset, not a recovery.
There is no supported way to bypass the admin password. Tools, downloads and videos that promise an instant unlock are not authorized by Intuit, some carry malware, and some write directly to the .QBW file in ways that can make professional recovery harder. Do not run them against your only copy.
Two related myths are worth clearing up. Renaming or deleting the .ND, .TLG and .DSN support files will not remove a sign-in prompt, because the password does not live there. A file that opens without asking for a password simply has no admin password set.
Keep a backup outside the experiment. Password work itself does not change your data, but the escalation paths do, including restoring an older backup. Create a fresh backup to a different drive or folder before you try anything, and keep the original company file untouched until you are back in.
Before you begin
Whether you sign in as admin or use Intuit's reset service, you need the same facts. Gather them first; a reset attempt with wrong registration info is the most common reason the flow fails.
- The QuickBooks license number. Hold down F2 on the company login screen or in the product to see it, or find it in CAMPS under Products and Services.
- The registration details used at purchase. Intuit verifies the authorized user's name and email, the primary mailing address and ZIP code, the main business phone number, and the license number. All must match Intuit's records.
- Access to the primary contact email. Reset tokens and codes are sent only to that address, so an old receptionist's inbox will stall you.
- Your QuickBooks version and admin username. The Automated Password Reset Tool asks for both, and admin usernames are not always literally "Admin."
- Authorization. Use this only on a file you own or are authorized to manage. Intuit verifies ownership for a reason.
How to reset a QuickBooks company file password
Back up the company file before you start
In QuickBooks, switch to single-user mode with File → Switch to Single-user Mode, then go to File → Back up Company → Create Local Backup. Save the .QBB to a different drive than the live file. The backup keeps the password, so it protects the data rather than giving you access, but it keeps a failed reset from becoming a data-loss story.
Identify the password type and collect the license number
At the login screen, note whether QuickBooks asks for a username. If it does not, or the username is Admin, you need the admin reset flow. If it does and you know the admin password, you can reset that user yourself. Press F2 to display the product and license information before you continue.
Reset a user or external accountant password as the admin
Sign in as the admin user, then go to Company → Set Up Users and Passwords → Set Up Users and enter the admin password when prompted. In the User List, select the user who needs access, select Edit User, type a new password, then select Next twice and Finish.
Depending on your build, the same screen appears under Company → Users → Set Up Users. If the Username box at login lists the accountant's name, this is the reset the external accountant needs.
Reset an admin password in QuickBooks 2020 or later
Open QuickBooks so the company login screen appears and select I forgot my password. Select the email address listed, then Next. Intuit emails a token to that address. Reset an admin password in QuickBooks 2019 or earlier
At the login window, select I forgot my password and complete the verification form. You need the license number plus the name, email address, phone number and ZIP code you used when you purchased the product. Select OK, and if the information matches, Intuit sends a code to the primary email address on the CAMPS account. Enter it and create a new admin password.
Use the Automated Password Reset Tool if the normal flow fails
Download the official Automated Password Reset Tool from Intuit's help article, then run it on the same computer as the company file. Fill in the license number and the business information used when QuickBooks was registered, then select Next. The access token is sent only to the primary contact email on the account.
After you enter the token, choose the matching QuickBooks version from the QuickBooks Desktop Products drop-down, select Browse for Company File, and pick the file. Enter the company file admin username exactly, set a temporary password, and select Reset Password. The tool is one-time use. It is not compatible with QuickBooks Desktop 2020 or newer; on those files it redirects you to the built-in flow from step 4.
Fix the registration details when Intuit rejects them
If either flow reports that your details do not match, sign in to CAMPS at camps.intuit.com and check the authorized user's name and email, the primary mailing address and ZIP code, the license number and the phone number. Correct anything that is stale, recover the Intuit account if you cannot sign in, then retry the reset. Handle a file whose password cannot be reset
When the registration information is lost, the business changed hands, or the file came from an owner you cannot contact, the supported path is Intuit support with proof that you are entitled to the file, which may include transferring the license and account records. Keep the file untouched while that is sorted out; repeated file-level tampering can reduce what a data recovery service can salvage.
One narrow exception is worth knowing. If an older backup was created before a password was ever set, restoring it opens without the prompt, but you lose every transaction entered since. Treat that as a last resort, not a trick.
Verify the fix
- Open the company file and sign in as the Admin user with the new password.
- Open Company → Set Up Users and Passwords and confirm every user is listed and active.
- Ask each user to sign in once. After a file is updated to QuickBooks Desktop 2024 or later, Intuit notes that non-admin users get temporary passwords and are prompted to set a permanent one at sign-in, which is expected after a failed or completed migration.
- Create a fresh backup and store it off the machine.
- Record the new credentials in a password manager, not on a note stuck to the monitor.
If you still cannot sign in
Escalate in this order. First, retry after confirming your CAMPS details, because one mismatched character in an address or phone number stops the process. Second, contact Intuit Desktop support and be ready to prove ownership with the license number, the registered business details and access to the primary contact email. Third, if the file is needed for historical data rather than daily work, a data-recovery specialist can try to salvage records from a copy, but that does not change the admin password.
Accountants who manage multiple client files should keep credentials in QuickBooks File Manager, which Intuit recommends for Desktop Accountant and Enterprise Accountant files. If that vault is lost, each client's admin must reset the accountant's user password individually; there is no master key.

- Give every person a named user account instead of sharing the admin login, and keep the Admin password with two trusted people.
- Store credentials in a password manager or QuickBooks File Manager, never in the file name, an email draft or a sticky note.
