Before you begin

  • Back up the company file. Use File → Back Up Company and store the backup on a different drive. Copy the whole company-file folder too if you have room.

  • Close QuickBooks completely. Tool Hub needs the program closed to work cleanly.
  • Plan for time. Installation and the first tool launch can take a few minutes, and the scan itself takes 10–15 minutes on a typical file.

How to download and run QuickBooks File Doctor

Download and install QuickBooks Tool Hub

Close QuickBooks, then download the current QuickBooks Tool Hub installer. Intuit recommends Windows 11 64-bit for the best experience. Save the file to your Downloads folder or desktop, run QuickBooksToolHub.exe, accept the terms, and open the tool from the desktop icon.

Run Quick Fix my File first

In Tool Hub, select Company File Issues, then Quick Fix my File. This quick pass clears the most common file-level blockages. Select OK when it finishes and try opening the company file before moving on.

Skipping this step is a common mistake. It takes under a minute and resolves a share of cases on its own.

Launch File Doctor

Still under Company File Issues, select Run QuickBooks File Doctor. Give it up to one minute to open. If nothing appears, search Windows for QuickBooks Desktop File Doc and open it manually — the tool sometimes starts behind other windows.

Select the company file

Pick your file from the dropdown menu. If it is not listed, select Browse and navigate to the .QBW file. When the file lives on a server, run File Doctor on the server itself, or browse to the file using its UNC path so the scan tests the same route QuickBooks uses.

Choose the scan type: file or network

Select Check your file — Intuit's current guidance points to this option, the middle choice in the window — then select Continue. This runs the company-file scan that repairs data damage.

Network-only failures are handled separately. Open the Network Issues tab in Tool Hub and run the network tools there, which must be run on the server computer. If your problem is an H-series error such as QuickBooks error H202, start with those tools rather than a file scan.

Enter the QuickBooks admin password

Type the admin password for the company file and select Next. This is the password QuickBooks prompts for when opening that file, not your Windows login. If you use a blank admin password, enter it as configured; if you cannot authenticate, reset the admin password before scanning.

Let the scan run

File Doctor can spend 10–15 minutes or more on a large company file. Do not open QuickBooks, reboot, or close the tool while it works. The progress window may sit on one step for several minutes without freezing — let it finish.

Close File Doctor and open the file

When the scan ends, close the tool and start QuickBooks. Open the company file normally. If it opens, you are done — continue to the verification steps below. If it still fails, read the next two sections before rerunning anything.

How to read the File Doctor results

File Doctor's completion messages are not always precise, so judge the result by what QuickBooks does next, not by the wording alone.

  • The scan reports it repaired the file: open QuickBooks and the company file, then run Verify Data.
  • The scan completes without a clear message: open the file anyway. Silence is not failure.
  • The scan lists file damage or integrity issues: open the file if possible and run File → Utilities → Rebuild Data, then Verify Data again. Data damage repairs follow a set order, covered in QuickBooks data damage recovery.
  • The tool cannot read the file at all: stop and move to the persistence section below. Repeated scans will not change the outcome.

When File Doctor says unsuccessful but the issue is fixed

This is a known behavior, not a contradiction. Intuit's own instructions note that the scan may say it was unsuccessful even when it fixes your issue. The tool reports on the repair routine, not on the final state of the company file.

Do this when you see that message:

  1. Close File Doctor completely.
  2. Open QuickBooks and the company file.
  3. If the file opens, run File → Utilities → Verify Data. If it reports no problems, treat the repair as successful.
  4. Do not run File Doctor again just because of the message. A second scan on a healthy file usually adds nothing and costs another 10–15 minutes.
  5. Record what happened, then make a fresh backup of the now-working file.

Verify the repair

  1. Open the company file from the same location and as the same Windows user as before. The fix should hold under normal conditions, not just when run as administrator.
  2. Press F2 and confirm the company file name, version, and multi-user status are what you expect.
  3. Open the customer, vendor, and employee lists that were blank or missing before. Confirm the records are present.
  4. Run Verify Data once more and confirm it reports no problems.
  5. Create a new backup, and ask one other user to open the file if you work in multi-user mode.

If File Doctor cannot repair the file

Move up the repair chain instead of repeating the same scan. Run Rebuild Data if you have not, then Verify Data.
