Mac-specific causes worth checking first

  1. The release is older than the macOS version. Each macOS upgrade breaks older QuickBooks builds differently, and fixes arrive as app updates.
  2. The company file lives in a sync or network folder. iCloud Drive, Dropbox and Google Drive lock files while they upload.
  3. QuickBooks Server is not running. Mac multi-user hosting is a separate app in Applications, not a background service.
  4. File Sharing permissions changed. The shared folder must be Read & Write for the users who need it.
  5. The host Mac sleeps, or the file is damaged. Sleep drops every user, and crashes leave damage that only Verify identifies.

Payroll on Mac has two options and one deadline

Windows Desktop Payroll plans do not transfer to the Mac app. Open QuickBooks → Settings → Payroll and choose which service launches from Employees → Payroll: QuickBooks Payroll for Mac or Aatrix Top Pay.

Availability follows your version's service window. Intuit ended service for Mac Plus 2023 on May 31, 2026, closing payroll, bank feeds and payments for that release. Mac Plus 2024 is the current build, and new US subscriptions stopped after September 30, 2024.

  • Time: 30–60 minutes for a backup plus a Verify and Rebuild cycle.

Back up before you repair. Rebuild, restore and clean install can drop templates, attachments and preferences. If the file will not open at all, keep the original untouched for recovery.

How to fix QuickBooks for Mac problems

Update QuickBooks before you change anything else

Press Command + 1 to open Product Information and note the version and release. Then choose QuickBooks → Check for QuickBooks Updates, select Install Update, and let QuickBooks relaunch.

Mac Plus 2024 requires macOS 12 (Monterey) or later and supports Intel and Apple CPUs. For macOS Sequoia, update to Mac 2024 R5.1 or later before you update macOS.

Find the company file and test a copy on the local drive

macOS has no fixed company-file folder like Windows. Your file lives where you saved it and uses a version extension such as QB2019, not .QBW. Open it with File → Open Company, or search Finder by name.

If the file sits on an external drive, a network share, or a sync folder, copy it to Documents and open the copy. If the copy opens, the location is the problem, not the data.

Quit QuickBooks completely and clear stuck processes

Choose QuickBooks → Quit QuickBooks. If the app or QuickBooks Server will not close, press Command + Option + Esc, or open Applications → Utilities → Activity Monitor and end the QuickBooks processes, then restart the Mac.

A process that survived a crash keeps the file locked and causes launch failures that look like corruption. If QuickBooks closes before a file opens, treat it as a start-up fault.

Back up the Mac way and test the backup

Use File → Back Up…, pick a folder on a different drive, and select Start Backup. Mac backups are DMG disk images, not .QBB files. For automatic protection, open QuickBooks → Settings → Backup to set the schedule, destination, password encryption and attachments.

Rebuild overwrites file internals. Run Verify first and answer the backup prompt. Skipping it removes your only rollback point if the rebuild stops partway.

Run Verify Data, then Rebuild Data, then Verify again

Open the company file and go to File → Utilities → Verify Data, then select OK to close all windows. If QuickBooks reports no problems, the issue is environmental. If it says "Your data has failed the integrity check," continue.

Choose File → Utilities → Rebuild Data and select OK for the backup prompt. A rebuild can look frozen while the pointer still moves, so let it finish. Run Verify again afterward; two or three passes are normal. Record-number errors are listed in Library → Logs → QuickBooks.log and searchable with @recnum. Restore multi-user sharing on the Mac

On the host Mac, open Applications → QuickBooks 20XX Server.app and confirm the file shows as shared; select Start Sharing if it does not. In System Settings → Sharing → File Sharing, add the company-file folder and set Read & Write for Everyone or specific users.

In System Settings → Security & Privacy → Firewall → Firewall Options, allow incoming connections for QuickBooks Server. Confirm the Macs appear under Shared in a new Finder window (Bonjour), and open ports 56565 TCP, 5297 TCP, 5298 TCP/UDP and 5353 UDP. Keep the host awake and every Mac on the same network. Turn on sharing with File → Enable Multiuser Mode; these checks resolve most cases of multi-user mode not working.

Fix printing, PDFs and form layouts

For forms, open a form and use the Current Template list, then select Edit Current Template or New Template. Layout Designer opens from there for fields, logos and guidelines; Windows templates do not transfer, so rebuild layouts on the Mac.

Clean install QuickBooks for Mac if every fix fails

Have your license and product numbers ready. Quit QuickBooks, open Applications in Finder, and drag QuickBooks to the Trash. Then hold Option, choose Go → Library, open Preferences, and move files containing com.intuit.QuickBooks20XX to the Trash. Repeat in Macintosh HD → Library → Preferences.

This resets preferences and can unregister the product, so gather the license numbers first. Restart, reinstall by dragging QuickBooks to Applications, then register with QuickBooks → Register QuickBooks. If the app closed before it opened, the start-up crash sequence follows the same order on Mac.

Apple Silicon vs Intel: what changes

Intuit's Mac Plus 2024 requirements list both Intel and Apple CPU hardware, so M-series Macs are supported, and any current Mac meets the Intel Core 2 Duo server minimum. Older releases (2020–2021) listed Intel-only requirements, so update before you upgrade macOS or add users.

When a Windows guide still applies (and what never does)

Never applies on Mac: QuickBooks Tool Hub and File Doctor are Windows-only. Mac files do not create .ND, .TLG or .DSN support files, so renaming them does nothing. There is no Task Manager, QBW32.exe or Database Server Manager, and F2 does nothing because the Mac shortcut is Command + 1. Error codes such as 6000 and H202 are Windows dialogs.

Still applies: the repair order for data damage, backup discipline, multi-user planning and conversion. A Windows .QBW file cannot open on Mac; on Windows, use File → Utilities → Copy Company File for QuickBooks Mac, then restore the MAC.QBB backup. Verify the fix

  1. Open the company file as a standard user and check the home page, balances and a recent report.
  2. Press Command + 1 and confirm the version and release are current.
  3. Run File → Utilities → Verify Data and confirm it reports no problems.
  4. If you share the file, open it from a second Mac and post a test transaction.
  5. Create a fresh backup, confirm the DMG holds today's file, and store a copy off the machine.

If the problem persists
