Quick answer

When your QuickBooks POS printer is not working, the cause is usually the Windows driver, the printer's USB port, or the device no longer being assigned in the Point of Sale Hardware Setup Wizard. Print a Windows test page first to separate POS problems from Windows problems, then work through the driver, spooler, and hardware setup in order.

What breaks in QuickBooks POS printing

Point of Sale sits on top of Windows printing. A receipt that fails to print can be caused by Point of Sale, by the Windows printer driver, by the physical device, or by the template that lays out the receipt. Each layer produces different symptoms, and the fastest way to fix a register is to identify the failing layer before changing settings.

Point of Sale was discontinued on October 3, 2023, so there are no more POS updates. Printer manufacturers still publish drivers, and everything below stays within Windows and the existing Point of Sale configuration. If you are also chasing connection errors on a register, the POS sync and data problems guide covers that side.

Symptoms and what they usually mean

  • Nothing prints from any register: suspect the printer, cable, or driver.
  • A Windows test page prints but POS receipts do not: suspect the Point of Sale printer assignment or template.
  • Receipts print blank, garbled, or cut in the wrong place: suspect the driver, paper roll, or receipt template.
  • The cash drawer does not open although receipts print: suspect the drawer cable or the drawer setting in the printer driver.
  • The pole display stays dark or shows odd characters: suspect the port, power, or emulation setting.
  • Barcode labels are misaligned or unscannable: suspect the label template, printer, or tag size.

Common causes, ranked

  1. Windows installed a generic driver after an update, replacing the receipt printer driver.
  2. The USB device moved to a different port, so Windows treats it as a new printer.
  3. The print queue is stuck or the Print Spooler service stopped.
  4. Another printer became the Windows default, so POS receipts go there.
  5. Point of Sale no longer has the device assigned after a reinstall or repair.
  6. The receipt template or label template was changed and no longer matches the paper.
  7. Physical causes: paper out, cover open, a jammed cutter, or a loose drawer-kick cable on the cash drawer.

Before you begin

You need administrator rights on the register, the printer's correct driver installer (keep an offline copy), and 15–30 minutes. Change one setting at a time, because otherwise you will not know which change fixed the problem.

Do not reinstall Point of Sale to fix a printer. Printing problems almost never require touching the store file, and the product is discontinued, so a reinstall or data change is harder to undo than it used to be. Leave the Data folder alone.

How to fix QuickBooks POS receipt and printer problems

1

Confirm whether Windows or Point of Sale is failing

Open Settings > Bluetooth & devices > Printers & scanners, select the receipt printer, and print a test page. On Windows 11 you can also run the printer troubleshooter in the Get Help app. If the Windows test page fails, fix Windows first; the general QuickBooks print troubleshooting order applies to the same components.

2

Power cycle the printer and check the physical basics

Turn the printer off, unplug it, wait 30 seconds, and power it back on. Check the USB or Ethernet cable, the paper roll orientation (it must unroll from under the roll), the cover, and the cutter area. If a cash drawer is connected to the printer, check the drawer cable. Plug the printer back into the same USB port it used before — Intuit's setup guide advises always returning devices to the same port.

3

Run the Point of Sale Hardware Troubleshooter

From the Point of Sale Help menu, open the Hardware Troubleshooter and use it to test the receipt printer and other devices. It shows which component Point of Sale cannot see. If the device does not appear at all, continue to the driver step.

4

Install the correct printer driver and stop Windows from switching it

Download the driver from the printer manufacturer (Epson, Star Micronics, Citizen, and similar), not from a driver aggregator site. Install it, set the receipt printer as the default in Windows, and turn off Let Windows manage my default printer. A generic Windows driver can print garbled receipts or ignore the cash-drawer kick command entirely.

5

Remove and re-add the printer in Windows

In Printers & scanners, remove the receipt printer, confirm it is gone, then add it again. For USB receipt printers, add a local printer and choose the correct USB port; for network printers, add it by IP address so it survives a DHCP address change. Print another test page before reopening Point of Sale.

6

Clear the stuck queue and restart the Print Spooler

Spooler warning. Stopping the Print Spooler pauses every printer on the register, and deleting spool files cancels other pending jobs. Do this outside store hours, and start the service again right away.

Press Win + R, type services.msc, open Print Spooler, and stop it. Then open %WINDIR%\system32\spool\PRINTERS, delete the files inside, and start the Print Spooler again with its Startup type set to Automatic. This clears jobs Windows can no longer finish.

7

Re-run the Hardware Setup Wizard inside Point of Sale

Close Point of Sale, reopen it, and launch the Hardware Setup Wizard from the File menu. Follow the prompts and do not connect a device until the wizard asks. Assign the receipt printer, confirm the cash drawer follows that printer, and complete the wizard's built-in tests. If the receipt prints but the layout is clipped or wrong, switch the receipt template back to the default in Point of Sale's form or preference settings, then re-test.

8

Test the drawer, pole display, and barcode labels separately

Ring a test sale and print a receipt. Open the cash drawer from Point of Sale, watch the pole display during the same sale, and print one barcode tag to check alignment. Most cash drawers plug into the receipt printer's drawer-kick port rather than the PC, so a drawer that ignores the printer usually has a cable or driver-setting problem, not a POS problem. Fixing one device can disturb another, so test all of them before calling the register finished.

Verify the fix

  1. Print a Windows test page and a Point of Sale receipt back to back.
  2. Confirm the receipt is complete, legible, and cut correctly.
  3. Open the cash drawer twice from Point of Sale.
  4. Confirm the pole display shows line items and the sale total during a test sale.
  5. Scan one freshly printed barcode tag at the register to confirm it reads.

If printing still fails

Move the printer to another USB port or, for network receipt printers, connect it directly by Ethernet and add it by IP address. Test from a different POS register: if the printer works there, the problem is the first register's Windows installation, not the printer. If no register can print to it, run the manufacturer's own diagnostic utility; when that fails too, the hardware needs service or replacement.

Older serial devices, including some pole displays, are worth escalating to a hardware technician, because USB-to-serial adapters and emulation settings vary by model. When the hardware is truly at end of life, remember that Point of Sale is discontinued and the official replacement path is the Shopify POS migration, so buy new hardware for that system instead of repairing a dead POS device.

Prevention

  • Label each USB port and keep every device in the same port.
  • Keep driver installers and the Point of Sale media in an offline folder on the server.
  • Pin the default printer and disable default-printer management on every register.
  • Schedule Windows updates outside store hours and print a test receipt afterward.
  • Keep spare paper rolls, a spare USB cable, and a spare receipt printer if the store cannot trade without one.
  • After any hardware change, follow the same install order shown in Point of Sale setup and install.

Frequently asked questions

Why does the receipt print but the cash drawer will not open?

Most cash drawers connect to the receipt printer's drawer-kick port, and the printer sends the open command. Check the cable between drawer and printer, then confirm the driver has the drawer option enabled. If the drawer works from its own test button but not from Point of Sale, the missing setting is on the printer or driver side.

Can I use a regular office printer for POS receipts?

Point of Sale can be configured for an inkjet or laser printer through the Windows printer setup in the Setup Interview, and that works for occasional receipt printing. Most retailers keep a thermal receipt printer because it handles paper rolls, prints faster, and drives the cash drawer.

Why do my barcode labels scan at the register but not elsewhere?

Labels printed from Point of Sale's default tag templates encode the item number, which POS scanners read well but other systems may not recognize. If a vendor or supplier needs a standard code, record the real UPC on the item record: POS accepts UPC-E, UPC-A, and EAN values, and converts shorter UPC formats to 13 digits.

Why did the printer stop right after a Windows update?

Windows updates commonly replace or re-rank printer drivers and can change the default printer. Reinstall the manufacturer driver, set the receipt printer as default, and disable default-printer management. If the queue is also stuck, clear it and restart the Print Spooler as shown in Step 6.
