Quick answer
Most QuickBooks Time login problems come from one of three places: the invitation, the Intuit account, or the access setting on the team member. How QuickBooks Time sign-in actually works
QuickBooks Time keeps no passwords of its own. Every team member signs in with an Intuit account that is linked to your company when they accept an invitation. The mobile side of QuickBooks Time lives in the QuickBooks Workforce app, while admins usually work in classic QuickBooks Time or inside QuickBooks Online. That is why one wrong detail, such as an invite sent to a personal email, can keep someone out of the right company.
Access is controlled separately from sign-in. An employee can have a valid Intuit account and still be blocked because access was turned off, they were archived, or their role lacks time tracking. Check the account first, then the access setting.
Symptoms of a QuickBooks Time login problem
- The sign-in page shows "The feature you've requested is temporarily unavailable", "Reference code 25625", or "Your request couldn't be processed."
- "Access is denied" or "Access has been denied for this operation" appears after correct credentials.
- The invitation link is expired, opens an error, or never arrives by email or text.
- Sign-in works in a browser but fails in the QuickBooks Workforce app, or the reverse.
- The employee signs in but sees a different company, an empty QuickBooks Time, or no time clock, or an admin cannot open Company Settings.
Common causes, ranked by how often they occur
- The invitation was never accepted. A team member must be invited before they can set up and use their account.
- The invite went to the wrong email or phone number. The employee signs in with the account they actually have, not the one invited.
- Access was turned off or the team member was archived. Either action blocks sign-in even though the Intuit account is fine.
- The employee already has an Intuit account under another email. The invite creates a second identity, and hours split across two accounts.
- A password or multi-factor authentication problem at the Intuit account level. The failure happens before QuickBooks Time loads.
- Company SSO and identity provider changes. Deactivating a user in the identity provider revokes Intuit access automatically.
- A stale browser or mobile session. The dashboard works in a private window while the normal browser or mobile app replays an old session.
- A payroll-side deactivation. In a QuickBooks Workforce setup, the employee record is managed through Payroll, so removing them there removes access.
Before you begin
- You need administrator or manager rights. Only account administrators and managers can change team member settings, and managers can adjust only their own group or crew.
- Ask the employee two questions: which email or mobile number the invitation arrived at, and whether they already have an Intuit account.
- Allow 10 to 20 minutes for most fixes; password and SSO issues involving IT take longer.
- Write down the exact error text or reference code, because it separates an account problem from an access problem.
Do not archive or remove a team member as a shortcut. Archiving strips personal settings and customer assignments and forces a brand-new invite, and their old timesheet history becomes read-only. Use the access toggle to pause someone temporarily; it keeps settings and needs no new invitation.
How to fix QuickBooks Time login problems
Confirm where the person is trying to sign in
Admins sign in at classic QuickBooks Time or through QuickBooks Online; employees use the QuickBooks Workforce mobile app or the web sign-in page. If both fail, suspect the account. If only one fails, suspect the session or device. Also confirm the company: in QuickBooks Online, the company list in the top-right corner switches between businesses. Have the employee sign out completely, then sign back in with the exact email that received the invite.
Check the invitation status and resend it
In QuickBooks Time, go to My Team, select the team member, and open General. If the status shows the invite was sent but not accepted, select Resend invite and confirm the email address or mobile number is correct; a member can only be invited when the record has one of those on file. If the original invite errored, the admin should delete it and send a new one. On the resend, try the other method: email if the first went by text, and the reverse.
Check the access toggle and the archive status
In My Team, look at the Access column. A member with access off cannot log in or track time, but their settings and assignments are retained, and turning access back on needs no new invitation. If the person was archived, set the View filter to Archived, select the member, open the options menu, and select Unarchive. Reactivating is only half the fix: an archived member must also be invited again, and personal settings and customer assignments must be rebuilt.
Fix administrator and manager access
If the person signs in but cannot reach what they need, the role is the problem. The four default user types are Administrator, Payroll Manager, Custom, and Worker. Only administrators can change company settings, add-ons, and integration preferences, and a manager can modify permissions only for their own group or crew. To change a role, open the member under My Team, use the Permissions tab, adjust the user type, and save. A custom user needs the manage-timesheets permission before approving time for everyone.
Resolve the Intuit account password or MFA block
If the employee never reaches QuickBooks Time, test the account by signing in to any Intuit page. A failed password reset points to account recovery, not QuickBooks Time. Reset the password from the Intuit sign-in page, choose a different verification method for multi-factor authentication, and wait out any lock from repeated attempts. If the reset email never arrives, check spam and confirm the address matches the Intuit account, not the invite; two accounts under two emails is a frequent discovery here.
Handle SSO and identity provider sign-ins
Some organizations let people sign in through their own identity provider instead of an Intuit password. Users still start with their email address, then get redirected to the company's sign-in page and authenticate with corporate credentials. Supported identity providers include Microsoft Entra ID, Google Workspace, and Okta. If your company uses SSO or automatic provisioning, the employee must exist and be active in the identity provider; deactivating them there revokes Intuit access even when the access toggle is on. Ask IT to confirm the user is provisioned, then have the employee sign in through the corporate route.
Fix wrong-company and wrong-account sign-ins
When an employee lands in the wrong company, the account is usually not the one that was invited. Sign out of the browser and the mobile app, then sign in only with the invited address. If the invite used a work email and the employee keeps signing in with a personal one, resend it to the address they actually use and remove the duplicate record. An employee who needs two businesses is invited separately by each company; never invite the same person twice under two emails.
Separate mobile problems from web problems
If the web sign-in works and the app does not, the account is fine and the device session is stale. Have the employee sign out inside the QuickBooks Workforce app, force-close it, update it, and sign in again. On the web, test in a private or incognito window, then try a different browser and device. When only one browser fails, clearing its cache and cookies for Intuit sites usually restores it. If a service error persists across browsers and devices, wait a few minutes and retry before escalating.
Verify the fix
- Have the employee sign in to the web dashboard and the QuickBooks Workforce app with the same credentials.
- Confirm the correct company name appears, not an empty QuickBooks Time or a second business.
- In My Team, confirm the status no longer reads as an unaccepted invitation.
- Have the employee clock in and out once, then confirm the entry appears under the right person in Approvals.
- Delete the test entry from the unapproved timesheet if it should not stay, and confirm your own admin sign-in still reaches Company Settings.
If the problem persists
Some cases need Intuit to act. If one person ended up with two Intuit accounts, ask Intuit support to consolidate them rather than deleting one, which can wipe access to hours and reports. If an invitation keeps failing after the admin deletes and resends it, give support the reference code and exact error text.
If the issue started after a device change, check the mobile side against our QuickBooks Workforce app troubleshooting. If the block spans all QuickBooks products, work through QuickBooks Online sign-in loops, then password reset problems and multi-factor authentication issues. Why did my employee never receive the QuickBooks Time invitation?
Open the member under My Team. Does turning off access delete an employee's timesheets?
