Quick answer
An "Unrecoverable Error XXXXX XXXXX" means QuickBooks closed unexpectedly — it does not mean your company data is gone. Do not overwrite or delete the file. Copy the whole company-file folder, reopen with all windows closed, try another user, then Verify, Rebuild, or use Auto Data Recovery.
What the unrecoverable error message actually means
In QuickBooks Desktop, an unrecoverable error is the message shown when QuickBooks has to stop running. Intuit's wording is blunt: it means QuickBooks closed unexpectedly. The X's are numeric placeholders, so you see something like "Unrecoverable Error 12345 67890". Write them down; they identify the trigger.
Intuit says the message can appear when you:
- Open or close a company file.
- Save a copy, such as a backup or portable company file.
- Select any menu option, button, or link.
- Update QuickBooks or install payroll updates.
- Run a file utility such as Verify, Rebuild, or Condense.
Intuit lists four common causes: missing Windows or QuickBooks updates, data damage, computer problems, and program code needing repair. A destroyed company file is not among them; the error describes the program's failure, not the condition of your data.
Why "unrecoverable" rarely means your data is gone
The label sounds worse than it is. Most cases trace back to something specific:
- A saved window. QuickBooks reopens the windows that were open when you last closed the file. A huge report set to reload can crash the program on every startup, making a healthy file look dead.
- A damaged QuickBooks user. One user profile can break while the file is fine; signing in as a different user is often the whole fix.
- A damaged program component. A broken install file or missing Microsoft component crashes QuickBooks before it reaches your transactions.
- A single damaged transaction. One bad link can crash the program whenever that transaction loads, including during Rebuild.
- The folder or path. A failing drive, an over-long path, or a cloud-sync folder that locks the file mid-read causes errors that follow the location, not the data.
Even when the company file is damaged, recovery options remain. QuickBooks keeps a transaction log (.TLG) and Auto Data Recovery copies beside the file; together they restore all but the last few hours of work. Intuit documents a short list of hard failures — such as C=44 and "Database disk image is malformed" — where an older file must be restored or a new one created. Most unrecoverable errors are not on that list, and a file that refuses to open with an error 6000 message is usually repairable with the same tools.
Immediate do's and don'ts
Do
- Write down the exact numbers, the task you were doing, and whether it happens every time.
- Make a folder copy of the company file and its support files before any repair.
- Keep the
.TLGfile and theQuickBooksAutoDataRecoveryfolder; recovery tools depend on both.
Don't
- Do not delete, rename, or move the original
.QBWfile. - Do not restore a backup over the original; restore it beside the original under a new name.
- Do not run Rebuild, Condense, or Verify in a loop while QuickBooks keeps crashing.
- Do not download "repair tools" from unknown sites or hand your file to an unsolicited recovery service.
Before you begin: back up the folder, not just the file
Back up first — the whole folder. Copy the company file (.QBW), the transaction log (.TLG), the network file (.ND), and the entire QuickBooksAutoDataRecovery folder to an external drive or another computer. Rebuild, restore, and Auto Data Recovery all write data, and each is safer with this copy in place.
- Rights: use a Windows account that can write to the company-file folder, preferably an administrator.
- Time: the reopen tests take minutes; a rebuild can take an hour or more.
How to recover from an unrecoverable error, step by step
Update QuickBooks Desktop and restart the computer
Open Help → Update QuickBooks Desktop, choose the Update Now tab, select Get Updates, and install the release. Install pending Windows updates, then restart. Missing updates are the most common cause Intuit reports, and a restart clears the half-loaded components that crash QuickBooks.
Reopen the company file with all windows closed
Start QuickBooks so the No Company Open window appears. Select your company file, then press and hold Alt while you select Open. Do not release Alt until the file opens. If QuickBooks asks you to sign in, release Alt, enter your password, then hold Alt again and select OK.
This bypasses the saved desktop, the crash trigger whenever the error happens only on startup. QuickBooks Desktop has no separate safe mode button; this is the closest equivalent.
Test a different QuickBooks user
Open the file and go to Company → Set Up Users and Passwords → Set Up Users. In QuickBooks Enterprise, use Company → Users → Set Up Users and Roles. Select Add User and create a fresh login, then go to File → Close Company/Logoff and sign in as the new user. Do not reuse the damaged user name.
If the new user works, delete the old profile and re-create it. If the error also happens for the administrator, run QuickBooks File Doctor first.
Test a sample file, then move your file to a new folder
Hold Ctrl while double-clicking the QuickBooks icon, keep it held until No Company Open appears, then select Open a sample file. If the sample opens and yours does not, the company file or its folder is the suspect.
Create a QBTEST folder on the desktop, copy the .QBW into it, and open that copy. If it opens, the original folder or path is the problem; move the file to a plain local folder. Cloud-sync folders such as OneDrive and Dropbox cause this pattern often.
Run Quick Fix my Program, then the Program Diagnostic Tool
Install the current QuickBooks Tool Hub and open Program Problems → Quick Fix my Program. This closes leftover QuickBooks background processes and repairs the program. Then run QuickBooks Program Diagnostic Tool from the same menu; it can take up to 20 minutes and fixes Microsoft components QuickBooks needs. Restart when it finishes.
If the same error returns, reinstall QuickBooks. A reinstall does not touch your company file, but keep the folder copy in place first.
Verify the file, then rebuild it
Open the file if it will stay open. Go to Window → Close All, then File → Utilities → Verify Data. Verify only reads the file. If it reports no problems, the error was environmental and you can resume work after a fresh backup.
If Verify reports "Your data has lost integrity", run File → Utilities → Rebuild Data. QuickBooks asks for a backup first; save it under a new name. Rebuild can look frozen while it works — as long as the mouse pointer moves, it is running. If you use Assisted Payroll, contact Intuit support before rebuilding.
If Rebuild itself crashes with the unrecoverable error, stop. That pattern, sometimes called target chaining, goes to professional recovery; repeated attempts reduce what a specialist can salvage.
Restore a recent backup if the file will not open
Go to File → Open or Restore Company → Restore a backup copy and choose the newest .QBB backup that opens cleanly. Restore it under a new file name so the damaged file stays untouched; for the full workflow, see QuickBooks backup and restore. Expect to re-enter work done after the backup date — that is normal, not a failed restore.
Recover lost transactions with Auto Data Recovery (ADR)
ADR uses the transaction log and recovery copies QuickBooks already keeps in the company-file folder. It works only in QuickBooks Desktop Pro, Premier, and Enterprise for Windows — not Accountant Editions — and only if the ADR file is 1.5 GB or smaller. Use it after the steps above.
Create a QBTest folder on the desktop. Copy the original .TLG and the matching .QBW.adr from the QuickBooksAutoDataRecovery folder into it, then remove .adr from the copy so it ends in .qbw. To recover all but the last 12 hours, copy both .QBW.adr and .TLG.adr and strip .adr from each. Open the copy from QBTest, check the registers, and run Verify.
Hand the untouched file to a professional
If the file will not open after a restore, ADR is unavailable, or Rebuild crashes, stop experimenting. Keep the original folder copy safe and send that to professional QuickBooks data recovery or a company-file repair service; specialists work best on a file that has not been rebuilt or partially overwritten. If payroll data is involved, tell your accountant.
Verify the fix
- Open the company file normally, without holding Alt, then close and open it again.
- Press F2 and check the file name, version, and hosting status.
- Run File → Utilities → Verify Data and confirm it reports no problems.
- Repeat the exact task that triggered the error and confirm it completes.
- Create a fresh backup and store it on a different device from the company file.
If the error only appears during one task
- Bank reconciliation. Intuit ties these errors to data damage and recommends updating Adobe Acrobat Reader first, then repairing the file. Start with the data damage repair order.
- Printing, emailing, or saving PDFs. Update Adobe Acrobat Reader and repair the PDF environment before rebuilding anything.
- Running Rebuild. A crash inside the rebuild usually means structural damage; move to professional recovery rather than retrying.
- One workstation or user only. The error likely follows the Windows or QuickBooks profile, not the file. Test a new Windows user account, then re-create the QuickBooks user as in Step 3.
Prevention
- Update QuickBooks Desktop and Windows on a schedule, and verify the file after each update.
- Back up routinely and keep at least one tested backup off the machine.
- Turn off saved windows: Edit → Preferences → Desktop View → Don't save the desktop.
- Keep the company file on a local drive or server share, never in a consumer sync folder.
- Shut down cleanly, use a battery backup, and run Verify and Rebuild twice a year.
Frequently asked questions
Does an unrecoverable error mean my company data is deleted?
No. The message means QuickBooks stopped running, not that the file was erased. Most cases resolve with an update, a clean reopen, a different user, or a program repair. Even with real data damage, the transaction log and ADR copies usually restore all but the last few hours of work.
Should I reinstall QuickBooks when this error appears?
Reinstalling is a documented step when program code is the cause, and it does not affect your company file. Do it after the folder backup and after the Tool Hub repairs. If the error continues after a clean reinstall, the problem is data-level and belongs in Verify, Rebuild, or professional recovery.
The error always shows the same two numbers. What does that mean?
Identical numbers on the same task point to a specific trigger — a saved window, one transaction, one user profile, or one utility. Note the numbers and the task, then test the triggers: open with all windows closed, sign in as a different user, and repair the named transaction.
Why can't I use Auto Data Recovery?
ADR is only available in QuickBooks Desktop Pro, Premier, and Enterprise for Windows, and not in Accountant Editions. QuickBooks also skips creating the recovery copy when the file is larger than 1.5 GB, and it disappears if someone deletes the QuickBooksAutoDataRecovery folder. If any of those apply, use a backup restore or professional recovery.
