Payroll needs special attention: download the latest payroll tax table on the new computer before the next paycheck, and confirm the payroll subscription is active before payday rather than on payday.

Pre-flight on both computers

Do these checks before anything is unplugged.

  • Old PC: open QuickBooks, press F2, and write down the product name, release, file path, and company-file size. You will compare it on the new machine.
  • Old PC: run File → Utilities → Verify Data and confirm the file is healthy before you back it up. A move is a bad time to discover company-file damage.
  • Old PC: have the QuickBooks admin username and password, plus the Windows sign-in password for the backup task.
  • Both PCs: confirm Windows version and updates, free disk space (allow at least three times the company-file size), and admin rights on the Windows account.
  • New PC: have the installer for the same edition ready, plus license and product numbers from F2 or your Intuit account.

License, edition, and version rules

  • The edition must match. A Premier file needs QuickBooks Desktop Premier; an Enterprise file needs Enterprise. Pro cannot open a Premier file.
  • Moving the company file does not affect your product license. You transfer the data, then register the installation on the new computer. Current versions activate through your Intuit account; older license-number versions re-register from Help → Register QuickBooks.

Copy the backup and payroll forms to the new PC

Copy the .QBB to a USB flash drive or a network share, not a cloud-sync folder that might lock it mid-transfer. Also copy the [Your Company Name] Tax Forms folder if you process payroll, plus any report exports or attachments you rely on. On the new computer, paste the files into a short local path such as C:\QBMove.

Install QuickBooks Desktop on the new computer

Run QuickBooks.exe and choose the install type. Use Express install for a single machine with no network sharing. Use Custom and Network Options when this PC will host the company file for other users or when you need to install the QuickBooks Database Server Manager. Activate when prompted and complete any product updates before restoring data.

Restore into a new folder. Restoring a backup creates a new .QBW. If you restore into the folder that holds an existing company file with the same name, you can overwrite data that has not been moved yet. Restore the backup on the new computer

Open the new QuickBooks installation. Go to File → Open or Restore Company, select Restore a backup copy → Next, then Local Backup → Next, and browse to the .QBB in C:\QBMove. Verification is more than a successful restore. On the new computer:

  1. Press F2 and confirm the release matches what you installed and the file path points to the new local folder.

  3. Compare Profit & Loss and Balance Sheet totals against the pre-move copies. Differences mean a transaction was posted after the backup or the wrong backup was restored.

Multi-user host considerations

Only one computer should host the file, and that computer needs the database service installed and the folder permissions set correctly.

  • On the new server, turn hosting on with File → Utilities → Host Multi-User Access. On every workstation, the same menu should show Stop Hosting Multi-User Access or hosting off.
  • Install the Database Server Manager on the server through Custom and Network Options; if you run several QuickBooks versions, install the oldest first.
