Common causes, ranked by how often they appear
- Date and filter mistakes. The period is off, a memorized report carries old filters, or a customized report was never reset. This explains most blank and wrong reports.
- Cash versus accrual basis. Summary reports can run on either basis; detail reports from the Reports menu default to accrual, so comparing one of each guarantees a mismatch.
- Comparing reports that count different transactions. A Profit & Loss includes expense-tab bill lines and journal entries; a sales report usually includes only item transactions.
- Items point to the wrong income or expense accounts. The item list drives which account a sale posts to, so wrong mapping produces wrong totals.
- A closing date or restricted period. Transactions outside the allowed period stay in the register but vanish from dated reports.

Before you begin

Confirm the accounting basis on both reports
Cash and accrual basis each show different income and expenses, so set both reports to the same basis before comparing them. In QuickBooks Desktop, open Edit → Preferences → Reports & Graphs → Company Preferences and check the Summary Report Basis setting; summary reports follow it, while detail reports created from the Reports menu default to accrual. Reconcile two reports that disagree
Set both reports to the same dates and basis, then compare detail rather than summary. Hunt missing transactions in the register and closing date
Run a Transaction Detail by Account report for the same period and compare it with the account register. Look for excluded accounts, inactive items, or a closing date that blocks older transactions from reports. Repair data damage only when list data is missing
When names, items, or accounts are missing from reports, transactions, and centers at once, treat it as data damage. Run File → Utilities → Verify Data, then Rebuild Data with a backup first. Press F2 and check the Versions Used on File section for RB before running File Doctor — Intuit warns against File Doctor on a file that was recently rebuilt, and in that case the correct move is to restore the backup made before the rebuild. Fix export and print failures
In QuickBooks Online, use the Export/Print dropdown to export to Excel or CSV. If a report will not display because of its size, export it or run smaller date ranges and combine the files. - Run both reports again with the widest date range and the same basis, and confirm the totals agree.
