What each QuickBooks Online reconciliation problem means
QuickBooks Online compares your register to a bank or credit card statement. When the two disagree, the wording on screen tells you which part of the chain broke. Match the message to the right problem before you edit anything.

Symptoms that point to a reconciliation problem
- The reconciliation screen blocks you before it starts with a beginning balance alert.
- A transaction you reconciled last month shows a blank or C in the checkmark column instead of an R.
- The reconciliation report no longer matches the bank statement even though the period was completed.
Common causes, ranked by how often they occur
- An incorrect opening balance. If the opening balance never matched the bank when tracking started, every later reconciliation is off by the same amount.
- A reconciled transaction was edited, deleted, voided, moved, or unreconciled. That changes the last ending balance and the next beginning balance.
- A bank feed transaction was undone and sent back to pending. Un-categorizing a downloaded transaction breaks the chain.
- A transaction was reconciled manually outside a reconciliation. Marking an entry as R in the register adds it to the beginning balance without appearing on a reconciliation report.
- An old transaction was added late. Entries dated before the last reconciliation's end date unsettle an already-balanced period.
- Duplicate or missing transactions. A charge imported twice, or a bank fee never entered, leaves the ending difference non-zero.
- The wrong ending balance or date was entered. One typo at the start produces an unreachable difference.
What "locked reconciliation" really means. QuickBooks Online does not lock one reconciliation. A "locked" reconciliation is usually a closed period (a lock date under Account and settings → Advanced) or a user whose role does not allow undo. See steps 6 through 8.
Before you correct a reconciliation
- Collect the bank or credit card statements for the period, including the page showing that day's opening balance.
- You need admin rights to edit reconciliations. Undoing a full reconciliation is limited to the primary admin or an accountant with the right access — see QuickBooks Online user roles and permissions.
- Write down the exact amount the beginning balance is off by. Every change you find should add up to that number.
- Clear uncategorized bank feed items first; transactions left in For review cannot be reconciled. See bank feed problems in QuickBooks Online.
Protect your records first. Undoing a reconciliation is irreversible and permanently deletes that period's reconciliation reports and attachments. Download the reports and attachments before you start, and export a fallback copy using QuickBooks Online data backup options.
How to fix QuickBooks Online reconciliation problems
Isolate the exact discrepancy
Go to All apps → Accounting → Reconcile and select the account. If the beginning balance is off, note the amount in the alert. If you are already inside the reconciliation, read the difference box. A specific figure like 12.47 gives you a search target; a large number usually means a wrong ending balance or a missing transaction.
Work through the Reconcile Discrepancy Report
Select the We can help you fix it link in the alert to open the report, which lists each changed transaction and what happened. Correct the items one at a time:
- Amount changed or moved: open the transaction, restore the amount or account to match the statement, then save.
- Unreconciled in register: click the checkmark until it shows R again, or reconcile the account again using the same ending date and balance as the last reconciliation. Only the second method records the correction on a reconciliation report.
- Reconciled in error: click the checkmark until it is blank or shows C, then save, so it can be cleared in the correct period.
- Deleted: recreate the transaction exactly as the report shows, then mark it R in the register.
Keep going until the Total discrepancy difference reads $0.00.
Search the audit log for deleted or voided transactions
Deleted and voided transactions often do not appear in the discrepancy report. Go to Settings → Audit log, filter by the account and the period since your last completed reconciliation, and look for delete or void events. Press Ctrl + F and search for "deleted".

Find manually reconciled transactions outside the cycle
Go to Settings → Chart of accounts, select View register for the account, and filter by reconcile status. Look for entries marked R with a date after your last completed reconciliation. Those were reconciled by hand and sit in the beginning balance without a report. If one does not belong in the period you are fixing, unreconcile it using step 6.
Fix an out-of-balance ending difference
When the beginning balance is correct but the difference will not clear: confirm the ending balance and date using Edit info; categorize every downloaded feed transaction for the period; combine split deposits through Undeposited Funds so one bank deposit matches the statement; enter missing fees and interest; review entries not on the statement and remove only obvious duplicates; then compare anything that is close but slightly off, such as a payment with a wrong date or amount.
Unreconcile a single transaction correctly
Open Chart of accounts → View register, find the transaction, and click the checkmark until it cycles from R to C to blank. Save, then reconcile the account again. This changes the beginning balance for the next reconciliation, so only remove a transaction when you are certain it caused the discrepancy. Unreconciling one entry does not undo the whole period.
Undoing a full reconciliation is a last resort. It cannot be reversed, it deletes the reconciliation report and attachments, and undoing one period also undoes every later reconciliation on that account. Download the reports first and get your accountant's sign-off before you continue.
Undo the whole reconciliation only if nothing else works
Sign in as the primary admin. Go to All apps → Accounting → Reconcile, then History by account. Find the reconciliation, open the Action dropdown, and select Undo. Read the warning, tick the confirmation box, select Undo reconciliation, then Done. The period is now unreconciled and you redo the statement. If the books are closed on that date, finish step 8 first.
Remove the lock when a closed period blocks the fix
If QuickBooks asks for a password or warns that the transaction cannot be changed, open Settings → Account and settings → Advanced. In the Accounting section, select Edit next to Close the books. Move the closing date back before the period you are fixing, or turn the setting off, then save. When the correction is done and the period is reviewed, set the closing date again.
Reconcile the account again and finish cleanly
Go back to Reconcile, select the account, and enter the statement ending balance and date. Check off the transactions that appear on the statement. When the difference shows $0.00, select Finish now, then Done. Save the reconciliation report as the clean record for the corrected period.
When to undo, unreconcile, or adjust

Adjusting entries are not a repair tool. QuickBooks only offers the adjusting entry after you review the reconciliation. If the difference is large, recurring, or unexplained, stop and involve your accountant instead of forcing the account to balance.
Verify the fix
- Open the saved reconciliation report and compare the ending balance to the bank statement.
- Confirm the next period's beginning balance matches the ending balance of the completed one.
- Reopen Reconcile and check that the beginning balance alert is gone.
- Open Settings → Audit log and confirm your corrections were recorded under your user name.
If the reconciliation still will not balance
Stop editing and get a second set of eyes before making more changes. Common reasons a reconciliation stays broken are a bank statement error, a missing prior-period reconciliation, or damage from a Desktop-to-Online conversion. Ask the bank for a corrected statement, and have your accountant review the opening balance before you adjust anything.
If you cannot open reconciliation history or the account is read-only, that is an access problem, not a bookkeeping one. Document each change and avoid repeated undo attempts.
Prevention
- Reconcile every account monthly. Small monthly checks beat a year-end rebuild.
- Do not change a reconciled transaction without correcting the reconciliation that covers it.
- Categorize bank feed items before you reconcile, and never leave transactions in For review at month end.
- Enter old or missing transactions before you complete a period, not after.
- Set a closing date after each reviewed period so accidental changes need a password, and keep an accountant on the account for undoing reconciliations and adjusting entries.
