What QuickBooks Online setup covers
QuickBooks Online setup is four layers: company-wide settings, the chart of accounts, the lists and balances that describe your business on day one, and the connections that keep it current — banks, users, and invoicing. Intuit describes the Advanced area of Account and settings as the place where you or your accountant initially set up the company file. Order matters, because balances and bank feeds build on the accounts and settings you create first.
You do not need to enter years of history. Opening balances summarize everything that happened before your start date, and bank feeds pull recent activity automatically. Keep the old system available until you have verified the new one.
Before you start: gather these details
- Your business legal name, address, and contact email, plus a logo file for invoices.
- Your fiscal year start month and your preferred accounting method.
- Bank and credit card statements for the day you will start tracking.
- A chart of accounts from your old system or accountant, ideally as a spreadsheet.
- Customer, vendor, and product or service lists if you have them in spreadsheets.
- Your accountant's email if they will work in the file, and a decision on who else needs access.
How to set up QuickBooks Online step by step
Create the account and set company settings
Sign up with a business email address you will keep, and choose the plan that fits your lists and users — Simple Start allows 250 chart of accounts and 1 billable user, Essentials 250 accounts and 3 users, Plus 250 accounts and 5 users, and Advanced removes most list limits with up to 25 users. Then open Settings → Account and settings. On the Company tab, add your legal name, address, and contact details and upload your logo. On the Advanced tab, set the fiscal year, accounting method, company type, account numbers, classes and locations, and currency if you plan to use them.
Finish on the Usage tab. It shows how many accounts, classes, locations, and users your plan allows, so you know the ceiling before you import a long list.
Build or import the chart of accounts
Go to Settings → Chart of accounts and select New to add accounts one at a time: choose the account type (Assets, Liabilities, Income, Expenses, or Equity), then the detail type that reports rely on. To bring in a list, use the dropdown next to New, select Import, download the sample file, and keep the original headers and format. Imports do not carry opening balances, so plan to enter those next.
Keep the list lean. Every account needs a purpose, and the default accounts QuickBooks creates — Accounts Receivable, Accounts Payable, Opening Balance Equity, Sales Tax Payable, and Undeposited Funds — should stay active because the system posts to them.
Enter opening balances as of one clear start date
Opening balances summarize history. If you also enter transactions that cleared before your start date, you will count the same money twice. Choose one date, enter balances as of that date, and leave older activity in your old system.
For accounts you create yourself, such as loans and fixed assets, go to Settings → Chart of accounts → New, set the type and detail type, enter the Opening balance from your statement, and set the As of date. Use the beginning of your fiscal year or the first day of your next statement period, and apply the same date to every account.
QuickBooks Online offsets opening balances against the Opening Balance Equity account, which is how you check your work later. If you connect a bank account before entering anything, QuickBooks calculates the opening balance from the transactions it downloads. To correct one, open the account register, select the opening balance entry, and edit the date and amount.
Import or add customers, vendors, and products and services
Use Settings → Import Data to bring in lists from a spreadsheet, mapping each column before you import. For products and services, go to Sales & Get Paid → Products & services, select New, and choose Service or Non-inventory item; inventory items are available on Plus and Advanced. Add a sales price and income account for each item, plus purchasing details if you also buy it.

Connect bank and credit card accounts
Pick the download date carefully. If you manually entered an opening balance and then download history that includes the same transactions, you create duplicates. Set the feed to start the day after your opening balance date.
Go to All apps → Accounting → Bank transactions and select Connect account (or Link account after the first one). Find your bank, sign in with your online banking credentials, choose the accounts to connect, then pick the transaction start date — download windows vary by bank from 90 days up to about 24 months. Set invoice settings and payment options
Open Settings → Account and settings and select the Sales tab. In Sales form content, choose which fields appear on invoices and sales receipts, and in Products and services, control whether the product/service and SKU columns display. Then go to Settings → Custom form styles to design your default invoice with your logo, fonts, and column widths.
While creating an invoice, select Manage (the gear icon) to turn on payment options, set up scheduling, or enable automatic reminders. If you plan to accept card or bank payments, review QuickBooks Payments settings before you send the first invoice.
Add users and invite your accountant
Go to Settings → Manage users and select Add user. Enter the person's name and email, choose a role, review the permissions it grants, and select Send invitation. Create and send your first invoice
Select + Create → Invoice, choose a customer, confirm the invoice date, due date, and terms, then add each product or service line with a quantity and rate. Use Manage to apply your invoice design and payment options, then select Review and send to email it or Save to send later. How to verify the setup before you rely on it
Run two reports on day seven: a Balance Sheet as of your start date and a Trial Balance. Every account should match the statement or spreadsheet you entered it from, and the Opening Balance Equity balance should reflect only those starting balances. If a number is wrong, fix the opening balance entry in the account register rather than posting an adjusting journal entry.
Then confirm the plumbing: Settings → Account and settings → Usage should show room left, bank feeds should show a recent download date, and your first invoice should appear in the A/R Aging report and the customer's transaction list. Common QuickBooks Online setup mistakes
- Entering old transactions after opening balances. This double counts activity. Keep detail before your start date in your old system.
- Connecting bank feeds without a start-date plan. Duplicates are harder to clean up than to prevent.
- Importing a chart of accounts and forgetting balances. Imports leave opening balances empty by design.
- Sharing the primary admin login. Add users with roles instead, and reserve the admin account for administration.
- Outgrowing the plan after setup. Check usage limits before you build 300 accounts on a 250-account plan — billing and subscription issues are easier to avoid than to unwind.

Frequently asked questions
Should I import my chart of accounts or type it in?
Import from a spreadsheet when you have a list from your old system or accountant, because it is faster and less error-prone. Keep the template's headers and format, and add opening balances after the import — those never come in with the list.
Do I have to enter all my old transactions?
No. Opening balances summarize everything before the date you start tracking, so you enter one balance per account rather than years of detail. Adding pre-start-date transactions later without adjusting the opening balance double counts them.
Which accounts do I need to set up manually?
Loans, fixed assets, and other balance-sheet accounts you create yourself need a manual opening balance and start date. Bank and credit card accounts can be created automatically when you connect their feeds, which also calculates their opening balance from downloaded history.
How many users can I add to QuickBooks Online?
Simple Start allows 1 billable user, Essentials 3, Plus 5, and Advanced 25. Reports-only and time-tracking-only users do not count toward the limit on plans that offer them, and accountant users are non-billable.
Can I change my start date or opening balance later?
