Quick answer
QuickBooks bank feed setup works best when the account already exists in your chart of accounts with the correct type. Connect the right institution, choose a start date your bank supports, and link either a parent account or its subaccounts — never both. Then treat the first download as a review session: match existing entries instead of adding duplicates.
What a bank feed connection actually does
A bank feed is a secure, read-only data channel. You sign in to your bank through QuickBooks once, and QuickBooks downloads posted transactions into the matching account. You still decide what each transaction means, so the connection never posts anything by itself.
QuickBooks Online and QuickBooks Desktop connect differently. QuickBooks Online links through the bank's data provider and updates automatically every night, beginning around 10 pm Pacific time. QuickBooks Desktop uses either Direct Connect, where QuickBooks talks to the bank server directly, or Web Connect, where you download a .qbo file from the bank and import it. Desktop can connect up to 40 accounts per company file.
Before you connect anything
- Online banking access. You must be able to sign in to the bank or card website with your own credentials. QuickBooks does not bypass a broken bank login.
- A finished chart of accounts. In QuickBooks Online, create the bank or credit card account first, with the account type set to Bank or Credit Card. You can also connect from the chart of accounts rather than the banking page.
- The account-type map. QuickBooks Desktop expects the institution's classification to match: checking, savings and money market map to Bank; a line of credit maps to Bank or Other current liability; a card maps to Credit Card. A card connected as a bank account will look wrong forever.
- The right person. In QuickBooks Online, accountants cannot connect a bank account on a client's behalf — the client must complete that step. The same applies to the primary account holder on Open Banking-style connections.
- Desktop credentials. Direct Connect enrollment may need a customer ID, password or PIN, account number and routing number. Ask the bank whether it charges a fee for QuickBooks connectivity before you enroll.
Back up and slow down before you change a live connection. Disconnecting a feed and reconnecting it makes QuickBooks download recent activity again, which can create duplicates. In QuickBooks Desktop, make a company-file backup before setup or any feed change. Never connect a parent account and its subaccounts at the same time — QuickBooks will reject the second connection because the account is already linked.
How to connect bank and credit card accounts to QuickBooks
Create the QuickBooks account with the correct type
In QuickBooks Online, go to Settings → Chart of accounts and add the account before connecting. Set the account type to Bank for checking, savings, money market and most lines of credit, or Credit Card for charge and credit cards. The detail type refines the report grouping; the account type is what the feed uses.
If the account already exists but has the wrong type, fix it first. Changing the type after the feed is live can strand downloaded transactions in the wrong register.
Find and verify the correct institution
Go to All apps → Accounting → Bank transactions. Select Connect account the first time, or Link account afterward. Search by bank name or website URL, and read the results carefully — the same brand often appears more than once, and business accounts sometimes use a different provider than personal accounts.
If your bank does not appear, use Request a provider and import transactions manually in the meantime. Do not guess at a similarly named credit union; the feed will authenticate against the wrong system and fail with an account error.
Select accounts without creating duplicate links
After you sign in, QuickBooks lists every eligible account. Select only the ones you want to track, and match each to an existing chart-of-accounts entry rather than creating a second copy. Connecting the same account twice, or connecting two accounts with near-identical names, produces errors such as 323 and 324.
For a card program with multiple cards, decide how the bank sends the data. If transactions download to one combined account, connect only the parent. If they download per card, connect the subaccounts and leave the parent unlinked. When the same opening balance lands in several subaccounts, delete all but one before you reconcile. Choose the start date deliberately
QuickBooks asks how far back to download. Timespans vary by bank, from 90 days up to 24 months. Pick the earliest date the bank offers if the account is new to QuickBooks, because reconnecting later will not extend the window you already used.
Anything older than 90 days cannot be downloaded through the feed and must be uploaded manually as a QBO, QFX or CSV file, or entered by hand. Keep the start date at least one day before your oldest QuickBooks transaction so the imported range overlaps and you can spot gaps rather than hide them.
Set up and map Desktop feeds correctly
In QuickBooks Desktop, open Banking → Bank Feeds → Set up Bank Feeds for an Account, choose the QuickBooks account, then select the institution. For Direct Connect, follow the enrollment link if your bank requires it, then enter your online banking ID and password and select the accounts to link.
If the bank has no Direct Connect, use Web Connect: download the activity from the bank's website as a .qbo file and import it from Banking → Bank Feeds → Import Web Connect Files. Web Connect accepts only .qbo files — QFX and QIF will not import. To switch methods later, disconnect the feed first; you cannot change the method while it is live.
Connect the right users and hand off cleanly
In QuickBooks Online, the connection belongs to the company, but the person who authenticates at the bank matters: for re-authorization requests, QuickBooks contacts the original user who created the feed. Make sure that person still has active access to the company and the bank account.
Accountants and bookkeepers work from their own logins; they cannot complete the bank connection for a client. If a client uses multiple QuickBooks Online companies, connect the business accounts in each company separately. For most banks, one banking login can feed several QuickBooks companies, but each one needs its own connection.
Run the first-feed review workflow
After the first download, work from the For review tab in QuickBooks Online. When QuickBooks suggests a match, confirm it instead of adding a new transaction; matching links the downloaded row to the invoice, bill, payment or receipt you already entered and creates no duplicate. If no match is right, select Find match before you categorize.
Confirm paired transfers between your own accounts rather than categorizing them twice. Set up bank rules for repeat vendors so future feeds arrive pre-categorized. In Desktop, review the Bank Feeds Center in your chosen mode: Express mode auto-creates entries, Classic mode lets you decide, and Advanced mode adds rules and batch tools. Statuses such as Unmatched, Matched and Renamed tell you what still needs attention.
Verify the connection and the first feed
- Select Update and confirm new posted transactions arrive; in QuickBooks Online, the newest date should match the bank's website.
- Check that the account's opening balance matches the bank's balance on the start date you chose.
- Match or add every item in the review queue, then confirm the transaction count equals the bank statement for the same period.
- In QuickBooks Desktop, verify that the lightning bolt still appears beside the account in the Chart of Accounts, which confirms the feed is active.
- Reconcile the account before you rely on the balances.
If the connection will not go through
Most first-time failures are sign-in problems: a one-time code the feed cannot answer, a security question, or a business profile that needs approval. Work through the bank error codes 323 and 324 for duplicate and missing accounts, 350 for re-authorization, and 377 for a stalled download. If the account stays broken after a reconnect, the issue is usually on the bank's side. Ask the business banking team to confirm QuickBooks or OFX access is enabled, and to escalate to the group that supports QuickBooks connectivity. Prevention: keep feeds healthy after setup
- Update the connection in QuickBooks whenever you change your bank password.
- Keep the original connection owner employed and reachable; transfer the role before they leave.
- Review transactions at least weekly so errors surface in small batches.
- Do not connect the same account to two chart-of-accounts entries, and do not mix manual uploads with an active feed over the same dates.

Frequently asked questions
How far back can QuickBooks download transactions?
It depends on the bank. QuickBooks Online supports start dates from the last 90 days up to 24 months, and QuickBooks Desktop usually receives about 90 days on the first download, with some banks offering up to a year. Anything older must be uploaded manually.
Should I connect a parent account or its subaccounts?
Follow the bank's data. If all card activity downloads to one combined account, connect the parent only. If each card downloads separately, connect the subaccounts and leave the parent unlinked. QuickBooks will not let you connect both — it reports the account as already connected.
Can my accountant connect the bank account for me?
No. In QuickBooks Online, accountants cannot connect a bank account for a client; the client must complete the authentication step. The accountant can still review, match, categorize and reconcile once the feed is live.
Will connecting the feed create duplicate transactions?
Not if you match instead of add. Duplicates usually come from reconnecting an account while earlier transactions are still unreviewed, or from uploading a file that overlaps the feed. Keep the reconciled copy, exclude the extra row, and QuickBooks will stop downloading it again.
Why do my transactions only update every night?
Automatic updates run nightly because that is when most banks release posted data. Select Update any time for a manual pull. Some institutions send new information less often, and American Express limits automatic downloads to two or three times a week.
