What QuickBooks Online Payroll errors look like
QuickBooks Online Payroll runs in a browser, not from installed software, so its errors look different from QuickBooks Desktop Payroll. There is no company file to repair, no database server, and no multi-user hosting. Problems appear as statuses and emails instead: a paycheck stuck at a direct deposit stage, a declined debit, a rejection letter from a tax agency, a payroll hold, or a read-only subscription.
Intuit's current help content labels the online payroll service Intuit QuickBooks Workforce in most articles, while older accounts still show QuickBooks Online Payroll. The screens below are the same under either name.

Common causes, ranked by how often they appear
- Not enough money in the payroll bank account. Debits for direct deposits and taxes fail and the account goes on hold.
- Wrong or outdated bank details. A closed company account, a changed employee account, or a routing number that no longer accepts ACH.
- Company tax IDs and agency schedules out of sync. A wrong EIN or state account number, a duplicate filing, or a changed deposit frequency.
- Incomplete employee or schedule setup. No payment method, no assigned schedule, an unfinished W-4, or an unverified company bank account.
- Billing failure. A declined card suspends the subscription and can make payroll read-only.
- Permission problems. Only the Primary Admin or payroll admin can change billing, tax IDs, and several payroll settings.
Before you start troubleshooting
- Sign in as the Primary Admin or payroll admin; many fixes are blocked for other users.
- Open the notification email. Intuit sends the return code and next step to the Primary Admin, Principal Officer, or accountant.
- Know your direct deposit funding speed (same-day, next-day, 2-day, or 5-day).
- Have your payroll bank details and your EIN or state account number available.
- Set aside 15–30 minutes; bank and wire steps take longer.
Your accounting data is not at risk from these steps, but tax filings and paychecks are, so correct the underlying cause before resending anything.
Do not ignore an NSF notice. A failed payroll debit puts your account on hold. If the balance stays unpaid, Intuit can cancel the account and send it to collections within 28 days of the initial NSF. Fund the account and resolve the hold before you work on anything else.
How to fix QuickBooks Online Payroll errors
Identify the exact status and return code
Start in the payroll dashboard. Go to Payroll → Overview and read the To Do List — unresolved bank, tax, employee, and setup issues appear there with links to the fix. For tax items, go to Taxes → Payroll Tax → Filings and check each form's status.
Filings move through Not Transmitted, Transmitted, In Agency (or Sent to [Agency]), Accepted, and Rejected. A rejected filing always comes with an email rejection letter that names the reason; do not resend until you have read it.
Resolve insufficient funds and NSF holds
If a direct deposit or tax payment failed, find the NSF email and note the return code. For codes R01 or R09, Intuit attempts an automatic redebit and the account stays on hold for 5 banking days; if the redebit succeeds, do nothing more.
For other codes, or if the redebit fails and payroll must run sooner, use the wire instructions in the email. The Principal Officer or Primary Principal must complete the wire; Western Union and similar transfers are not accepted. The hold is removed within one banking day of receipt. Fix bank details and reissue rejected paychecks
If a paycheck was rejected because the routing or account number is wrong, void the rejected paycheck, update the employee's bank information, recreate the paycheck, and send a new direct deposit. If the money landed in another employee's account, ask that employee to return it, or request a reversal within 5 business days of the pay date — the paycheck date counts as day one, and recovery is not guaranteed. Pay the affected employee by check while the reversal processes. Employees can sometimes update their own bank details through the QuickBooks Workforce portal.
Correct a rejected tax filing and resend it
Online payroll rejections are narrow and specific: an invalid EIN or state account number, a duplicate filing, a form sent before the agency accepts it, or a schedule the agency changed. Match the reason in the letter to the fix before doing anything else.
For a wrong EIN or state account number, have the agency confirm the correct value, then contact payroll support from inside QuickBooks, because the payroll team updates company tax IDs on online accounts. For a duplicate, ask the agency which form it accepted. For an early filing, resend closer to the due date. For a schedule mismatch, confirm the new frequency, update it in payroll tax setup, and send the correct form or payment. The To Do List tracks what is outstanding.
Don't resend a rejected form unchanged. A second identical filing can be treated as a duplicate and rejected again, which slows the correction. Fix the data the agency flagged first, then resubmit once.
Repair pay schedule and employee setup errors
Pay schedules drive when payroll is due and which employees are included. Create or edit schedules under Payroll → Employees → Edit payroll items, and assign them per employee in the employee's Job & pay section. A schedule cannot be removed once added, so edit it instead of deleting it.
If an employee is missing from a run, check three things: a payment method and schedule are assigned, the W-4 and personal details are complete, and direct deposit is not stuck at Pending. Pending usually means the company account is not verified, the employee's bank information is missing, or verification is still running. Finish payroll setup before the next live run if anything is incomplete.
Restore a suspended account or payroll subscription
If payroll is read-only or missing, go to Settings → Subscriptions and billing. If the account was suspended for a failed payment, select Resubscribe, update the payment method, and subscribe again. For payroll, select Resubscribe next to the payroll line.
Reactivation can take up to 24 hours. Intuit does not back-bill for the inactive period, and company data is preserved for 365 days after cancellation. Verify payroll is healthy again
- Run a payroll report for the affected period and compare totals with bank activity.
- Confirm the corrected deposit shows as processed, or the replacement paycheck is on schedule.
- Confirm tax payments show as accepted with no balance due.
- Confirm each employee has a schedule, payment method, and complete tax details.
If the problem persists
Use the product's own support path first: open Help in QuickBooks Online, search the exact error or return code, and use the contact option when the article does not resolve it. Payroll specialists can see transmission records that are not visible in the dashboard.
If a page will not load or the dashboard shows a service message, check the QuickBooks status page before changing settings — an outage is not a data problem. If a team member can sign in but payroll is missing, the cause is usually their user role. Keep a written record of every return code, agency conversation, and confirmation number for support.

Why is my direct deposit stuck at Pending?
